Privacy Policy Introduction

Summit Automation Systems (“Summit Automation Systems,” “Summit,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit summitautomation.systems, submit a website or social media form, communicate with our chat widget, receive communications from us, or otherwise interact with our services.

By using our website or voluntarily providing personal information to us, you acknowledge the practices described in this Privacy Policy. Where consent is required by law, we will request consent separately and clearly.

This Privacy Policy does not govern third-party websites, platforms, or services that maintain their own privacy policies. We encourage you to review the privacy notices of any third-party service you choose to use.

2. Information We Collect

The information we collect depends on how you interact with Summit Automation Systems.

Information You Provide Directly

We may collect information that you voluntarily provide through our website contact forms, Facebook Lead Ad forms, consultation forms, assessment forms, appointment forms, surveys, chat widget, email, telephone calls, or other communications. This information may include:

  • First and last name;
  • Email address;
  • Telephone or mobile number;
  • Company or business name;
  • Job title or business role;
  • Business type or industry;
  • Information about your business needs, automation needs, service requests, or project goals;
  • Appointment preferences and scheduling information;
  • Communication preferences and consent records; and
  • Any other information you choose to provide.

Facebook and Social Media Lead Forms

When you submit a Facebook Lead Ad form or another social media lead form, the platform may provide us with the information you entered into that form, such as your name, email address, telephone number, company name, and responses to lead-qualification questions. Your use of the social media platform is also governed by that platform’s privacy policy.

Chat Widget Interactions

Our website may use the Lead Connector live-chat widget or a similar messaging tool. When you use the chat widget, we may collect:

  • Your name and contact information;
  • The content of your messages;
  • The date, time, and status of the conversation;
  • Information about the page from which you initiated the chat; and
  • Technical information associated with the interaction.

Chat conversations may be stored in our customer relationship management system so that we can respond, maintain a communication history, and provide requested services.

Information Collected Automatically

When you visit our website, we and our service providers may automatically collect certain technical and usage information, including:

  • Internet Protocol address;
  • Browser and device type;
  • Operating system;
  • Pages viewed and links selected;
  • Date, time, and duration of visits;
  • Referring website or advertising source;
  • General geographic location derived from an IP address;
  • Cookie, pixel, and similar technology identifiers; and
  • Website performance, analytics, and conversion information.

3. Cookies and Analytics Technologies

We may use cookies, pixels, tags, local storage, and similar technologies to operate the website, remember preferences, measure website performance, understand how visitors use the website, and evaluate advertising or lead-generation campaigns.

Cookies may include essential cookies required for website functionality, analytics cookies used to understand website usage, and marketing or attribution cookies used to identify the source of a website visit or form submission.

Most browsers allow you to block, limit, or delete cookies through browser settings. Disabling certain cookies may affect website functionality. Where required by applicable law, we will provide additional cookie choices or honor recognized opt-out preference signals.

4. How We Use Your Information

We may use personal information for the following purposes:

  • To respond to inquiries, consultation requests, service requests, questions, and customer-support communications;
  • To schedule, confirm, reschedule, and manage appointments;
  • To evaluate your business needs and recommend relevant services;
  • To send SMS messages, including marketing messages, appointment reminders, onboarding messages, service updates, and follow-up communications, when legally permitted;
  • To send emails, including marketing communications, newsletters, reminders, onboarding materials, service information, and follow-up communications;
  • To create, maintain, organize, and update contact and opportunity records in our customer relationship management system;
  • To deliver, administer, and improve our automation, consulting, implementation, and related services;
  • To personalize communications and website experiences;
  • To measure marketing, advertising, and website performance;
  • To detect, prevent, and address fraud, abuse, security incidents, and technical issues;
  • To maintain appropriate business, consent, transaction, and communication records;
  • To comply with applicable laws, regulations, court orders, and lawful governmental requests; and
  • To establish, exercise, or defend legal rights.

5. SMS and Text Message Communications

Summit Automation Systems may offer SMS communications for marketing, appointment reminders, consultation follow-ups, onboarding, customer service, service updates, and related business communications.

SMS Consent: When you provide your mobile number through a website form, Facebook Lead Ad form, appointment form, or chat widget that contains an SMS consent disclosure and you affirmatively agree to receive text messages, you consent to receive SMS messages from Summit Automation Systems at the number provided.

Consent to receive marketing text messages is not a condition of purchasing any product or service.

  • Message frequency varies based on your interactions with us and the services you request.
  • Message and data rates may apply.
  • Reply STOP to any eligible SMS message to opt out at any time.
  • Reply HELP for assistance.
  • You may also contact us directly using the contact information provided below to withdraw consent.

After you submit an opt-out request, we may send one final message confirming that your request has been processed. We may continue to contact you through non-SMS methods when legally permitted and necessary to respond to an active request, provide contracted services, or comply with law.

Mobile information, telephone numbers, and SMS consent records will not be sold, rented, or shared with third parties or affiliates for their own marketing or promotional purposes. We may provide this information to communications vendors and service providers solely as necessary to transmit messages, maintain our systems, support our operations, and fulfill your requests.

Wireless carriers are not responsible for delayed or undelivered messages. Delivery is subject to effective transmission by your mobile carrier and is not guaranteed.

6. Email Communications

We may send email communications that include:

  • Marketing and promotional communications;
  • Newsletters, educational information, and business resources;
  • Appointment confirmations and reminders;
  • Consultation and service follow-ups;
  • Client onboarding information;
  • Service, account, and administrative communications; and
  • Customer-support responses.

You may unsubscribe from marketing emails at any time by selecting the unsubscribe link included in those emails. You may also contact us directly to update your email preferences.

Unsubscribing from marketing emails does not necessarily prevent us from sending non-promotional communications, such as communications concerning an active service request, appointment, transaction, contract, account, security matter, or legal notice.

7. How We Disclose and Share Information

We do not sell your personal information. We also do not sell, rent, or share telephone numbers or SMS consent information with third parties for their own marketing purposes.

We may disclose personal information in the following limited circumstances:

Service Providers

We may share information with trusted vendors, contractors, and service providers that perform services on our behalf, including:

  • Customer relationship management and lead-management platforms;
  • Website hosting and infrastructure providers;
  • Form, survey, appointment-scheduling, and chat providers;
  • Email-delivery and marketing platforms;
  • SMS and telecommunications platforms;
  • Analytics, advertising-attribution, and website-performance providers;
  • Cloud storage, cybersecurity, and technical-support providers; and
  • Professional advisers, such as attorneys, accountants, and consultants.

These parties are permitted to process information only for legitimate business purposes and subject to appropriate contractual or legal obligations.

Legal and Safety Disclosures

We may disclose information when we reasonably believe disclosure is necessary to comply with applicable law, respond to a subpoena, court order, or governmental request, protect the rights or safety of Summit Automation Systems or others, investigate misconduct, or prevent fraud, abuse, or security threats.

Business Transactions

Information may be transferred as part of a merger, acquisition, financing, restructuring, sale of assets, or similar business transaction. Any successor organization will remain subject to applicable privacy obligations concerning the transferred information.

With Your Direction or Consent

We may disclose information to another party when you direct us to do so or otherwise provide valid consent.

8. Data Retention

We retain personal information for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, provide requested services, maintain business and CRM records, document consent and opt-out requests, comply with legal and contractual obligations, resolve disputes, prevent fraud, and enforce agreements.

Retention periods may vary depending on the type of information, the nature of our relationship with you, applicable legal requirements, and legitimate business needs. When information is no longer reasonably required, we may delete, anonymize, or securely dispose of it.

9. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, acquisition, use, alteration, disclosure, loss, or destruction. These measures may include access controls, password protections, vendor-management procedures, secure platforms, data minimization, and other practices appropriate to the nature of the information.

No website, database, internet transmission, email system, or electronic storage method is completely secure. Therefore, while we work to protect personal information, we cannot guarantee absolute security.

10. Your Privacy Rights and Choices

Depending on your state of residence and applicable law, you may have the right to:

  • Request confirmation of whether we process your personal information;
  • Request access to personal information we maintain about you;
  • Request correction of inaccurate personal information;

Submitting a Privacy Request

To exercise an applicable privacy right, contact us using the email, telephone number, or mailing address listed in the “Contact Us” section below. Please clearly describe your request and provide enough information for us to identify the relevant records.

We may take reasonable steps to verify your identity before completing a request. We may deny or limit a request when permitted by applicable law, including when we cannot reasonably verify the requester’s identity, must retain information to comply with law, or another legal exception applies.

Authorized Agents

Where permitted by law, you may designate an authorized agent to submit a request on your behalf. We may require proof of the agent’s authority and may contact you directly to verify your identity or confirm the request.

Appeals

If we deny an eligible privacy request, you may appeal the decision by contacting us and stating that you are submitting a “Privacy Request Appeal.” Please include enough information for us to identify your original request and review our decision.

11. Browser Privacy Signals

Some browsers and browser extensions transmit “Do Not Track,” Global Privacy Control, or other privacy preference signals. Because standards and legal requirements may vary, our website will respond to recognized preference signals when required by applicable law and when the signal can be reasonably detected and applied.

12. Children’s Privacy

Our website and services are intended for businesses and adults and are not directed to children under the age of 18. We do not knowingly collect personal information from children through the website.

If you believe a child has provided personal information to us, please contact us so that we can review the matter and take appropriate action.

13. Third-Party Websites and Services

Our website may contain links to third-party websites, social media platforms, scheduling services, payment services, or other external resources. We do not control and are not responsible for the privacy practices, content, or security of third-party services.

Review the privacy policy of each third-party website or service before providing personal information.

14. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes in our practices, technology, services, or legal obligations. When we make changes, we will post the revised policy on this page and update the “Last Updated” date.

Material changes may also be communicated through the website, email, or another appropriate method when required by law.
